Lift maintenance reports: what should a monthly maintenance form contain?

3 min read

Under Turkish regulation, a lift is maintained at least once a month and every maintenance visit is documented in a report, one copy for the person responsible for the building and one for the service company. A good maintenance form records the lift's identity, the date and technician, the points checked, the parts replaced, the defects found and the signature of the person responsible for the building.

What does the regulation say about maintenance?

The Lift Operation and Maintenance Regulation defines maintenance as the work carried out at least once a month by the manufacturer or an authorised service company. It covers lubrication, cleaning, checks, adjustments, rescue operations and the repair or replacement of worn parts.

Each visit is documented in a maintenance report. One copy goes to the person responsible for the building and one to the service company; the building keeps its copies on site or at the management office. Part replacements and accidents are also entered in the lift's log book.

The regulation also sets a training requirement: people designated by the person responsible for the building receive rescue training at least once a year, and the training is recorded.

What a monthly maintenance form should include

The regulation does not prescribe a template; the content is left to the company. A form that works in the field and causes no trouble at inspection time includes:

  • The lift's identity: building name and address, registration or serial number, lift type
  • Date, start and finish time of the visit, the technician's name
  • A checklist for the machine room, car, car roof, pit, doors and safety circuit (OK / adjusted / defect found)
  • Confirmation that the car alarm and emergency communication were tested
  • Parts replaced or repaired (also to be entered in the log book)
  • Defects found but not fixed, the proposed action and estimated time
  • Status of any open defects from the periodic inspection report
  • Signatures of the technician and the person responsible for the building, and the planned date of the next visit

Adapt the checklist to the manufacturer's maintenance instructions; one list may not fit every type of lift.

The trouble with paper forms

Most lift companies working with paper or spreadsheets face the same problems: there is no proof the technician was actually on site, handwriting is unreadable, signed copies get lost, and a missed monthly visit is noticed only when the building manager calls.

At inspection time the problem grows: collecting a year of maintenance reports and part replacements from folders takes hours.

Digital maintenance forms: QR code, signature, instant record

With a digital form, the technician scans the QR code on the lift to start the visit, so which lift and when is recorded. The checklist is ticked on the phone, the person responsible for the building signs on screen and the record reaches the system immediately; no lost paper, no unreadable handwriting. A receipt can be printed on site for customers who want one.

In the office, which lift missed its visit this month, which building has a yellow or red label and which defect is still open are answered on one screen. Aselmind is maintenance management software built for exactly this workflow.
